How to Choose Series Fare Software
There is no single best series fare system - only the one that fits how your blocks are contracted, priced and sold. This guide sets out the criteria that matter, the questions worth asking and the warning signs to take seriously.
- Define what you actually need before demos
- Compare vendors on the same criteria
- Spot gaps that cost money later
- Shortlist with confidence
Define your requirements before any demo
Vendors demo what their product does well. To avoid being led by the demo, write down how your business really works first: how many series you run at once, how many agents you sell to, whether agents get different prices, and who in your team touches the inventory.
Then list the moments that have cost you money in the past - a missed name deadline, an oversold departure, a fare sent to the wrong agent. The right software should make each of those harder to repeat.
- Volume: series, departures and bookings in a typical season
- Audience: your own agents only, or wider distribution
- Pricing: one agent fare, or tiers and per-agent markups
- Team: who needs access, and to what
Criteria to score every vendor on
Score each vendor on the same rows so the comparison stays honest.
| Criterion | Why it matters | Questions to ask the vendor |
|---|---|---|
| Inventory structure | Series change departure by departure | Can I edit one date's seats, fare or timing without affecting the others? |
| Pricing control | Margin depends on who sees which fare | Can I set different fares by agent group and keep my net cost hidden? |
| Distribution rules | Not every agent should see every block | Can I restrict a series to named agents and close it instantly? |
| Deadline handling | Name and release dates drive financial risk | Are there alerts per departure before name deadlines and release dates? |
| Booking modes | Some seats need supplier approval | Does it support both instant and on-request bookings, with hold limits? |
| PNR and name lists | Names must match what the airline holds | How are names captured, edited and linked to the airline PNR? |
| Roles and permissions | Pricing should not be editable by everyone | Can I limit who changes fares, inventory and agent settings? |
| Reporting and export | You need utilisation data for the next negotiation | Can I export bookings and sell-through at any time, in a standard format? |
| Support and onboarding | Migration mistakes are expensive | Who helps load existing series and reconcile open bookings? |
Warning signs during evaluation
No data export
If you cannot get your bookings and names out easily, you are locked in.
Series treated as one row
Software that cannot handle per-departure changes will break mid-season.
Net fare visible to agents
Any risk of exposing cost prices is a serious commercial problem.
No deadline alerts
Relying on staff memory for name deadlines is exactly what you are trying to leave behind.
Unverifiable claims
Be cautious of rankings or numbers the vendor cannot back up or let you check with references.
Single login for all staff
Shared logins make it impossible to see who changed a fare or cancelled a booking.
A fair way to compare shortlisted vendors
Send the same brief
Give each vendor your requirements list and a sample of real series data.
Ask for a scripted demo
Have them load your sample, not their own perfect example.
Involve the operators
The staff who update inventory daily should test the screens they will use.
Score on the table
Use the criteria above and agree weights before you see any prices.
Where EazyPNR fits in your shortlist
EazyPNR is a B2B series fare and airline inventory distribution platform, built and operated in New Delhi. It is designed for businesses that hold seat blocks and want to distribute them to approved travel agents, with per-departure inventory, tiered agent pricing, distribution rules, deadline alerts and PNR tracking.
It is a good fit if you want management and distribution in one place. If you only need an internal stock sheet with no agent-facing booking, a simpler tool may be enough. Judge it on the criteria above like any other vendor.
- Suited to consolidators, wholesalers, tour operators and group fare suppliers.
- Includes agent-side search and booking, not just supplier inventory.
- Ask us to run the scripted demo with your own sample data.

Send a sample series and we will demo with your data.
What is the most important feature in series fare software?
For most suppliers it is per-departure inventory control with deadline alerts, because that is where financial risk sits. Pricing control comes a close second.
Should series fare software include agent booking?
If you sell to agents, yes. A system that manages inventory but still relies on WhatsApp for bookings solves only half the problem.
How many vendors should I shortlist?
Two or three is usually enough to compare properly without the evaluation dragging on.
Is EazyPNR the best series fare software?
We do not make that claim. Whether it fits depends on your requirements; use the criteria on this page to judge it alongside any other option.
Can I trial with my own data?
Ask each vendor. EazyPNR can walk through your own sample series during a demo. Request a demo.
